Birthday Parties

Terms & Conditions: 

Payment: $150 non-refundable deposit is required upon booking confirmation. Balance of the package due on the day of the party – Eftpos only. 

*Unexpected Cleaning fee – This fee will be issued in the case of any food/drink stains or unexpected bodily fluids are found on WGC flooring or equipment during or after your event. Specialised cleaners are needed for gymnastics equipment. This fee may be up to $200 

Booking Confirmation: Bookings must be confirmed with numbers at least 5 days prior to the Party. Numbers provided at confirmation date will be the minimum amount invoiced. No discounts will be applied for absences on the day. Any additional guests will be invoiced on the day. If you are bringing additional party guests, a minimum of 72 hours’ notice prior to the party is required to facilitate staffing updates. 

Availability: We will make all endeavours to secure your preferred Party booking date & time; however, bookings depend on gym and staffing availability. 

Cancellation: A minimum of 7 days’ notice is required for cancellation. Parties cancelled within that time may be subject to the full booking price. Parties cancelled prior to 7 days may be able to transfer their $150 deposit to a party on another date in the future if approved and confirmed by the WGC Birthday Party Coordinator. 

Photos: You are required to notify us in writing (email) prior to the commencement of the session if any of your guests are not allowed to be photographed. WGC reserves the right to use images taken during these sessions for our marketing and social media purposes unless notified in writing prior to the session. 

Medical & First Aid: You are required to notify us in writing (email) prior to the commencement of the session if any of your guests have a medical condition that may affect their ability to participate fully in the party program. WGC staff will then determine the level of participation (if any) for that guest including any alterations to the program. In the event of an incident, WGC staff will provide initial first aid, and an Incident Report will be completed and provided if requested. All party guests (members & non-members) are covered by WGC Insurance package in the case of injury. 

Parent Involvement: It is a requirement of the Party Booking that a Parent/ Guardian of the Party Star (“Party Parent”) is in attendance for the duration of the Party. Other parents are not required to stay but this is at the discretion of the Party Parent. Any behavioural issues will initially be managed by coaching staff, however, for the safety of all guests and staff, the guest may be required to leave the Gym Floor and will be placed under the supervision of the Party Parent. 

Parents/ guardians are not covered by WGC Insurance and are not permitted to enter the Gym Floor area unless requested to do so by a Coach or the Party Host.
